Equities Research Administrative Assistant

Role Description

Our client is seeking a highly motivated, self-directed professional who thrives in a fast-paced and dynamic environment. This role provides essential administrative and organisational support to equity long/short investment teams. The successful candidate will be intellectually curious, perceptive, discreet, and demonstrate the highest standards of integrity. They must be comfortable interacting with a wide range of internal and external stakeholders in a polished, professional manner. Excelling in this role requires the ability to manage multiple priorities while consistently delivering high-quality work with reliable follow-through.

Main Responsibilities

  • Coordinate and manage internal and external meetings, ensuring efficient use of time and resources
  • Track, log, and validate corporate access activity and broker interactions
  • Oversee calendar management, including identifying and resolving scheduling conflicts and ensuring teams are fully prepared for meetings (e.g., materials, logistics, travel)
  • Arrange complex domestic and international travel for team members
  • Prepare, submit, and reconcile expense reports in a timely manner

Essential Skills

  • 3–5 years of administrative assistant experience; within financial services is essential
  • Proven ability to perform effectively in a fast-paced, evolving environment 
  • Excellent written and verbal communication skills
  • Strong proficiency with Microsoft Office
  • Exceptional time-management skills 
  • Ability to handle sensitive and confidential information 
  • Strong organisational skills and meticulous attention to detail
  • Proactive approach 
  • Professional, mature demeanour
  • A collaborative team player who can also operate independently
